Gate Monitor, LLC ("GateMonitor," "we," "us," or "our") operates the GateMonitor™ access control platform, including the website at gatemonitor.com, our mobile-optimized web application, and all related hardware, services, and communications (collectively, the "Service"). This Privacy Policy describes how we collect, use, disclose, and protect your personal information when you use the Service.

By accessing or using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.

1. Information We Collect

1.1 Information You Provide

  • Account Information: Name, email address, phone number, organization name, and password when you create an account.
  • Property & Gate Data: Property addresses, gate names, hardware identifiers, and configuration settings you enter into the platform.
  • Resident & Visitor Data: Phone numbers, display names, unit numbers, and access schedules for authorized residents and visitors managed through the platform.
  • Payment Information: Billing details processed through our third-party payment processor. We do not store full credit card numbers on our servers.
  • Communications: Messages you send us through support channels, demo requests, or the contact form.

1.2 Information Collected Automatically

  • Access Logs: Date, time, method (QR code, phone call, SMS, app), and outcome (granted/denied) of each gate access event.
  • Device & Usage Data: Browser type, IP address, device type, operating system, pages visited, and interaction timestamps.
  • Cellular & SIM Data: For GateLink hardware devices, we collect signal strength, data usage, and connectivity status from the cellular modules and SIM management platforms.
  • Cookies & Similar Technologies: We use session cookies to maintain your login state and preferences. We do not use third-party advertising cookies.

1.3 Information from Third Parties

  • Integrator Partners: If your property’s access control system was installed by a certified GateMonitor integrator, they may provide property and contact information on your behalf.
  • SIM & Cellular Providers: We receive device connectivity data from our cellular partners to monitor hardware health.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service, including processing gate access requests and managing resident directories.
  • Verify identity and authorize access to gated properties.
  • Send transactional SMS messages, including access verification codes, gate open confirmations, and visitor notifications.
  • Send service-related communications such as account confirmations, billing notices, security alerts, and system updates.
  • Monitor hardware health, connectivity, and performance of GateLink devices.
  • Provide customer support and respond to your requests.
  • Generate aggregated, anonymized analytics to improve the Service.
  • Comply with legal obligations and enforce our Terms of Service.

3. SMS & Mobile Messaging Policy

GateMonitor uses SMS (text messaging) as a core component of its access verification system. By using the Service — including scanning a gate QR code, being added as an authorized resident, or requesting visitor access — you consent to receive transactional SMS messages from GateMonitor related to gate access control.

3.1 Types of SMS Messages

  • Access Verification: One-time codes or call-back prompts to verify your identity at a gate.
  • Gate Status Notifications: Confirmations that a gate has been opened or that an access request was denied.
  • Visitor Alerts: Notifications to property managers or residents when a visitor requests access.
  • System Alerts: Hardware status updates, connectivity warnings, or maintenance notifications sent to property administrators.

3.2 Consent & Opt-Out

By providing your phone number and using the Service, you expressly consent to receive the transactional SMS messages described above. You may opt out of non-essential notifications at any time by adjusting your notification preferences in your account settings or by replying STOP to any message. Note that opting out of access verification messages may prevent you from using the gate access features of the Service.

3.3 Message Frequency & Rates

Message frequency varies based on your usage of the Service. Standard message and data rates from your mobile carrier may apply. GateMonitor does not charge separately for SMS messages sent as part of the Service.

Mobile Information Privacy Commitment

We do not sell, rent, loan, trade, lease, or otherwise transfer for profit any phone numbers or personal information collected through the Service, including mobile subscriber information, to any third party for promotional, marketing, or commercial purposes. Mobile information collected as part of the SMS messaging program will never be shared with third parties or affiliates for their marketing or promotional purposes. This commitment applies to all mobile information, regardless of whether consumers have opted in to our messaging program.

4. How We Share Your Information

We may share your information in the following limited circumstances:

  • With Property Managers & Owners: Resident information and access logs are shared with the property managers and organization administrators who manage the property you are associated with.
  • With Authorized Integrators: Certified GateMonitor integrator partners may access hardware configuration data for properties they have installed, for the purposes of installation, maintenance, and support.
  • Service Providers: We use third-party service providers for hosting, payment processing, SMS delivery, email delivery, and cellular connectivity. These providers access your data only to perform services on our behalf and are contractually obligated to protect it.
  • Legal Compliance: We may disclose information if required by law, subpoena, court order, or governmental request, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.

We do not sell your personal information to third parties. We do not share your information with third parties for their direct marketing purposes.

5. Data Security

We implement industry-standard security measures to protect your information, including:

  • Encryption of data in transit (TLS/SSL) and sensitive data at rest.
  • Secure password hashing using bcrypt.
  • Role-based access controls limiting data access to authorized personnel.

While we strive to protect your personal information, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. Access logs are retained according to the retention policy configured by your property’s organization administrator (typically 90 days to 1 year). When you delete your account or request data deletion, we will remove your personal information within 30 days, except where retention is required by law.

7. Your Rights & Choices

Depending on your jurisdiction, you may have the right to:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request that we correct inaccurate or incomplete information.
  • Deletion: Request that we delete your personal information, subject to legal requirements.
  • Opt-Out: Opt out of non-essential communications and notifications.
